TITLE: Assistant Property Manager – West Central, Florida

Position Overview

The Assistant Property Manager is a pivotal role in supporting the overall mission of a rapidly growing commercial real estate property management company. This purpose is to support the Senior Property Manager with a variety of tasks as described below. We are looking for a highly organized and enthusiastic individual who is excited about getting in on the ground floor of a rapidly expanding organization.

Duties & Responsibilities –

  • Reports to Senior Property Manager
  • Assist with tenant work orders in IMPAK and subsequent billing for accounting
  • Assist building engineer with processing and updating work orders
  • Maintain certificates of insurance and W-9’s for tenants and vendors.
  • Under the direction of the Property Manager, operates the property efficiently in compliance with Company guidelines in order to achieve maximum return on investment (ROI) for the property owner.

This includes but is not limited to:

  • Collects and secures rental and utility payments.
  • Makes daily bank deposits and verifies the accuracy of those deposits.
  • Delivers late rent letters, “notices”, and personally contacts all tenants who have unpaid rent.
  • Represents ownership with high level of integrity and outstanding customer service
  • Highly responsive, with impeccable follow up and follow through on duties
  • Communicates tenants needs to Property Manager, able to understand maintenance needs
  • Coordinate travel arrangements for the Company
  • Perform safety/property inspections and reports any deficiencies or maintenance items
  • Coordinate inspections and maintain reports for elevators & fire suppression equipment
  • Office filing and organizing. Includes weekly filing and clearing out existing files as needed in the company Dropbox
  • Meet onsite with vendors and/or inspectors to allow access
  • Obtain and organize electronic Building Base drawings and floorplans in online property management and company software
  • Field tenant service calls and respond as necessary
  • Report urgent tenant needs to Senior Property Manager
  • Assist bidding out vendor service contracts and maintain vendor files in DropBox
  • Assist with Accounts Payable – verify invoices for approval by PM and input into Yardi
  • Enter tenant billbacks and extra electric charges into Yardi
  • Maintain copies of payables in the company Dropbox per accounting
  • Help organize small tenant events and holiday gifts
  • Manage IMPACK software to add and delete tenants, vendors and building photos and drawings when needed
  • Scan, copy and file documents
  • Act as Liaison between tenant and ownership
  • Maintain tenant lease files in the company Dropbox
  • Assist owner with any local construction drawings/permitting
  • Available as company contact for fire suppression panel faults and inspections
  • Maintain tenant emergency contact lists
  • Available 24/7/365 as emergency response backup

Knowledge, Skills and Abilities

  • Basic Accounting/Accounts Receivable/Payable experience preferred
  • Customer Service Experience
  • Excellent verbal and written communication skills
  • Ability to work independently
  • Highly organized and detail oriented
  • Ability to read and understand basic commercial lease terms
  • Ability to run required reports in Yardi Property Management Software
  • Proven ability to multi-task
  • Basic knowledge of tenant rent roll
  • Ability to handle confidential information with discretion
  • Ability to travel locally to inspect facilities and assist tenants
  • Ability to work from home or office when required
  • Ability to maintain focus in a fast-paced environment with many daily interruptions
  • Requisite level of computer skills necessary to execute the job functions effectively — MS Word, Excel, PowerPoint, etc. Knowledge of Yardi Property Management Software a plus

Job Type: Full-time

Pay: $23.00 - $26.00 per hour
